01. How to add a user

Learn how to add new users with different roles.

Find Users under Configurations in the sidebar menu. Go to add new user, and start filling out the information. It is important the user is created before the first attempt to log in. Add Name, email, phonenumber and user image, before you select the tenant and the role of the user. Please note that Name and email can´t be change after creation, so please make sure it is correct before submitting.

How to create your own password in Command Center

01. Log in to admin.casi.auto
02. Enter your email and press “Forgot password”
03. Send instructions to your email. If you don´t get an email, try the resend button
04. Click the link sent to you email and register your new password

Your password must contain:

01. At least 8 characters
02. At least 3 of the following:Lower case letters (a-z)
03. Upper case letters (A-Z)Numbers (0-9)
04. Special characters (ex. !@#$%^&*)

Go back to admin.casi.auto and log in with your new password

03. How to change a vehicle status

Make sure your fleet is always updated on the latest availability status. Learn how you can do that here.

To change a vehicle status, do the following:

01. Go to Inventory
02. Find the car you want to change status on
03. Click view and then edit
04. Change to the status that you want
05. Click save and the status is updated

A vehicle will automatically change status to "In Subscription" when it is assigned to a new subscription. A vehicle will also automatically change to "Available" when a vehicle return task is completed, unless the vehicle is already assigned to another future subscription.

Main statuses:
• Pre registered: New car coming in to the fleet that is yet not ready to be made available for sale
• Available: Car available for new bookingsIn subscription. Vehicle out on subscription with no registered cancellation
• Maintenance: Vehicle waiting for or currently in a workshop/repair
• B2B: Vehicle out on a manual B2B subscription
• Out of service: Existing vehicle in fleet that is should no longer be sold to new subscribers
• Missing: Vehicle that you don´t know the location of
• Sold: Vehicle that is sold from the fleet

Sub statuses:
• Maintenance sub statuses: Needs Workshop, At Workshop, Finished Workshop, Needs Service, At Service, Finished Service
• Out of service sub statuses:To Be Returned Leasing, Returned Leasing, Selling. Condemnation Process, Condemned

05. How to create a manual subscription

Doing a swap on a current customer or creating a new subscription for a previous customer? Learn how to do it here.

Sometimes the customers needs help creating a new subscription. The system enables you to create manual subscriptions for existing customers, perfect if the customer wants to swap their car and don´t want to do a new booking online. It can also be an efficient way to push reactivation on customers that have churned.

To add a manual subscription for an existing customer, you must add the subscription in both Chargebee and Command Center.

It is best to create the subscription in Chargebee first, in order to take the Subscription ID from Chargebee and connect it to Command Center as a Payment ID. If you prefer creating the subsciption in Command Center first, so that you know the monthly subscription price, you can add the Payment ID in Command Center afterwords as well.

Follow the steps in the video above to see how it is done.

Please note that it is only possible to create a manual subscription for an existing customer with a subscription. It does not have to be an active subscription, as long as the customer previously has subscribed to the service. If it is a new customer, the customer need to make the booking through the booking processes.

11. How to manually cancel a subscription

If there is a need to cancel a subscription manually, you can do it by following these steps.

Cancellation is normally done via the customers My Page, but sometimes the customer needs some help. The system enables you to do this action for the customer, giving the customer good service when they are unable to cancel themselves.

Guide:
01. Go to subscriptions in Command Center
02. Search and find the subscription you are looking for
03. Press the menu on top of the subscription page and click cancel
04. Select the date and time of the return of the vehicle, and press submit

Pleas note:
• A cancellation date must be minimum 24h in the future. If you need to set the cancellation date to a passed date, this can be edited in the Setup Return task and the Vehicle Return task.
• IMPORTANT! A cancellation also needs to be registered in Chargebee with the same data as in Command Center.

12. How to upload a product

Learn how to create product customers love.

A product is a bundle of similar vehicles, and through the product API the products are presented in the distribution channel(s) to the customers. The product function in the Command Center let you manage your different products and helps you stay create attractive products the customer can not refuse!

The product list provides a complete overview of all your products, and by using the search bar it easy to find a given product. The order of the products can be organised by the drag and drop function, making it easy to present the desired products in the order that you want on the web page at all times. The columns in the list makes it easy to get a quick overview of the essential product information (such as price, number of vehicles etc), and compare number of available vehicles in each product. It is also possible to mark a product if it should be shown or not in the web shop when it is sold out.

The product price is set in the product, as well as naming and description. The product price is the base price of the product, and makes the subscription price of the customer together with the alternatives the customer chooses, which is configured under the offer configuration in Command Center. Connected offers on a product is shown at the bottom of the product page. Vehicles can be added to products as product items, and through product API available vehicles will be available for sale in the web. Vehicle available from date is also set in the product, enabling you to sell vehicles even before you have them in stock. See this video... to see how you connect vehicles to the product. Products can also be categorized, creating links between similar products for marketing purposes and making filter options more flexible. You can also add marketig tags and images tags to the product, that will show on the product in the webshop.

The product pictures are added in the product page and is presented in the web by using Cloudinary's advanced AI media optimization. Add SEO/alt text, gravity and image type to the pictures. The gravity tells the AI optimization what to focus on in the picture. When choosing image type "Image and Text", you must add a title and a description. Image typ banner is the main picture of the product.

13. How to upload inventories

One by one or in bulk - this is the way to do it

Inventory represents the vehicles in your fleet and they are the heart of your service. The smart inventory management gives you full control over your assets, making it easy to stay on top of fleet health and status.

The inventory list provides a complete overview of all vehicles in your fleet. As mentioned in the product section, the inventory is not shown directly on the website/marketplace, but grouped in different products of your choice to be presented on the website. Your entire inventory can also be exported in a CSV. The inventory page for a vehicle provides a full overview of the timeline of the vehicle. You will see telematics, subscriptions, inspections, services, tasks and all comments made on the vehicle. 1. Go to Inventory in the menu and press “Add” to add one single vehicle to the Command Center. If you want to import multiple vehicles or export your fleet to a CSV, press “import”. 2. Add all relevant information about the specific vehicle. Start with registration number and VIN if you have this. The more information you fill in, the better. All mandatory fields must be filled in. Remember, you need to create department(s) under configuration before creating inventory if this has not been done. Now the vehicle is created and will be listed in the Inventory list. To edit the vehicle information you can press on the pen in the right corner. You can also use the duplicate button if you are adding several vehicles of the same model. Some of the fields will be copied. Make sure you change the fields that need to be changed, (color, finance etc).

A vehicle status must be set on the Inventory.

Vehicle statuses are:
• Pre-registered: New vehicle in fleet that is not made available for sale.
• Available: Vehicle available for sale on the marketplace/website.
• In subscription: Vehicle out on subscription or with a future booking.
• Maintenance:Vehicle waiting for/or currently in a workshop/repair. Used when a car returns with a damage*
• B2B: Vehicle out on a manual B2B subscription.
• Sold: Vehicles sold out of the fleet.
• Out-of-service: Vehicles in the process of being sold out of the fleet and should no longer be sold to customers.
• Missing: Vehicle that you do not know the location of. * ”maintenance” combined with an “available from” date in the future makes the car available for sale.

02. How to create a new subscription in Chargebee

Do you need to create a new subscription manually? This tutorial will show you how.

1. Go to the customers profile in Chargebee and click on the "Create New Subscription" button on the top right corner of the screen.
2. Choose the correct Product Family that matches your tenant and fill in the subscription information fields. The "Subscription ID" field should stay blank, but the "vin", "contract no" and "registration number" needs to be manually filled.
3. To find the "contract no", you have to go to the new created subscription in Command Center and copy the subscription ID. This can be found in the url, when located in the subscriptions page.
4. Choose the startdate the customer has requested for this subscription.
5. Add a plan to the subscription.
6. Choose the "Monthly vehicle subscription" plan.
7. Choose the correct currency and set the billing frequency to monthly, then add the configuration.8. Set the correct price and create the subscription through the "Create" button at the top right corner of the page.
9. When the subscription is created succesfully, we have to add the contract start and end date to the subscription. This is done by clicking the "Add" button under the Subscription Configurations section.
10. The contract start date and end date has to be added with a UNIX date format. You can convert a date to UNIX format through this LINK... When you have the UNIX dates, you can start writing the JSON meta data in the same way as showed in the image below. A tip here is to copy the meta data from another subscription and change the numbers to the correct UNIX dates. When the meta data is complete, click on the "Add" button on the top right corner of the screen.
